Often, tech products need specific skills or training in order for users to understand the tech. With Deploi, our in-house development team have specifically focussed on making the client platform and candidate experience as user-friendly as possible.
Deploi was created off the back of poor experiences with multiple screening companies and feedback from candidates complaining about a poor experience with external vetting providers.
Fear no audit
While there have been many iterations of attempted BS7858 vetting by various companies in the UK, Deploi has been praised for its functionality and how it could be the go-to database for accessing compliance records in the UK.
While traditional vetting companies often have a compliance specialist or officer to check files before accepting them, you can rest assured that with Deploi, your records will meet the BS7858 standards as an absolute minimum at the time the candidate is announced as fully cleared. This means your compliance team can redistribute efforts into other areas, saving time, stress and helping internal efficiency.
With us, you also have an added layer of safety, where the screening controller is never the same person who was assigned to the case. This reassures our customers that files screened through Deploi are always reviewed by more than one person.
Additionally, as we see more and more screening providers only meet the bare minimum requirements, Deploi is built to let workers keep their screening files updated. For companies, this means if a worker returns or is rehired by you, and has been previously screened by us, vetting won’t have to be redone in full, they can simply top up their Deploi Passport and get back to work!
We’re serious about data protection
Compliance is still a practice that experiences heavy use of paper and old-school filing systems, which can be fragile when it comes to data security. Deploi offers you a better and more secure system to store workers details and documents.
Here’s how.
Authentication
Our secure login mechanism enhances the safety of both companies and candidates during the upload process of documents and other files. With the integration of password protection and Two-Factor Authentication (2FA), users are granted robust security measures to safeguard their activities.
To further secure user data and prevent unauthorised access, our system is also designed to automatically log out users after five hours.
Storage of data
Our data is securely stored in a password-protected database. The password is safeguarded in a vault with access limited to select in-house, UK-based Deploi engineers, who must also be logged in to the Deploi VPN.
Backend communication with the database is facilitated via the Google Cloud Proxy Server, preventing any public exposure of the database, ensuring an additional layer of security against unauthorised access.
Third party integrations
We are committed to data privacy and sharing data responsibly with trusted third parties only. For instance, we engage with Yoti for identity verification processes. Yoti assures that all captured data, including ID documents and selfies, are stored securely in their UK data centre. After a candidate completes a session, all personal information is deleted.
In cases where a session is left incomplete, the data will be purged after 5 hours at the most. Importantly, Yoti utilises the data exclusively for the verification process and not for any other purposes.
For image storage and logging purposes, we collaborate with Google Cloud Platform, which adheres to stringent security protocols to safeguard data, such as:
Encryption: Data (such as images of ID documents) is encrypted both in transit and at rest, providing robust protection against unauthorised access and interception.
Access Control: Google Cloud implements advanced access control mechanisms and identity management technologies to ensure that only authorised people and entities can access the data.
Audit and Monitoring: GCP provides sophisticated tools for auditing and monitoring access and usage of data and services, helping to maintain a secure and compliant environment. For internal logging purposes, data is directed to a dashboard that is not only password-protected but also accessible exclusively through the Deploi VPN, enhancing its security framework.
Secure image retrieval: We only rely on the secure infrastructure provided by Google Cloud Storage. This helps us generate URLs for image retrieval that have time-limited access, thereby minimising the risk of unauthorised access
Lastly, access to our Google account is restricted to registered members of the Deploi domain, providing an additional layer of security and ensuring that access is limited to authorised personnel.
Quicker than the competition
From the point the candidate submits the documentation needed to complete BS7858 vetting, The Deploi team averages <5 days to a clearance status.
We work with companies to understand whether they are keen to get people with limited clearance to start working or whether they prefer fully cleared from the get-go, as training and uniforms can be an expensive investment if a worker ends up not being able to be fully cleared.
Not every candidate will be possible to vet, and we want that to be as easily understood from our customers’ side as possible. That's why we provide them with a checklist of questions to run through at the interview stage to estimate how simple or complicated a candidate’s five year history is so that expectations are set from the very start.
It's important to us that the candidates understand what is expected of them, and what Deploi is trying to achieve with their documents and files, as this speeds up their time to clear. When clients add a candidate to Deploi we have a document you can provide them that explains that we work in partnership with you and what they can expect before they get started.
Another huge contributor to our quick vetting, is how we’ve built data maintenance into the Deploi as its own feature. That means the more files we clear, the more candidates we have fully cleared in the system. This offers the opportunity of "topping up" files that have previously been cleared to quicken the pace of turnarounds of clearances. This means, for every candidate we vet, the higher the chance that you might hire someone that has previously been vetted by Deploi and won’t have to spend the time, effort and money to redo their entire vetting process.
